EXECUTIVE ASSISTANT TO THE SUPERINTENDENT

                                  JOB DESCRIPTION

 

 

 

Purpose:               The Executive Assistant to the Superintendent assists and relieves the superintendent of paper work and impedimenta so that he/she may devote maximum attention to the central problems of education and education administration.  The Executive Assistant to the Superintendent provides office and clerical support to assist with the efficient operation of the school district. To accomplish these tasks, the Executive Assistant works closely with the staff and administration of U.S.D. #230.

 

Responsible To:   Superintendent

 

Payment Rate:     According to Classified Salary Schedule

 

Benefits:               •Fringe benefits as scheduled by the Board of Education.

                              •12 Sick Days leave per year, accumulative to sixty (60 days).

                              •1 Day Personal leave per year, un-accumulative. One (1) additional

                              personal day may be taken and deducted from sick leave. 

                              •2 Days Bereavement leave per year, un-accumulative.  One (1) other

                              bereavement days may be taken and deducted from sick leave.

 

Qualifications:    

1.              High School diploma or equivalent.

2.              Experience as a secretary or administrative assistant

3.              Demonstrated typing and filing skills.

4.              Experience in using various computers and computer programs.

5.              Have a valid driver's license, be able to drive, and qualify under the district’s insurance carrier when driving a district vehicle.

6.              Desire to continue career improvement.

 

Essential Functions:

1.              Provide office and clerical support to assist with the efficient operation of the school district.

2.              Communicate effectively with all members of the school district and community.

3.              React to change productively and handle other tasks as assigned.

4.              Appropriately operate all equipment as required.

5.              Support the value of an education.

Physical Requirements/Environmental Conditions:

1.              Requires prolonged sitting or standing.

2.              Requires physical exertion to manually move, lift, carry,  pull, or push heavy objects or materials.

3.              Requires stooping, bending, and reaching.

4.              Must work in noisy and crowded environments.

5.              Must be able to climb stairs and use a small stepladder.

6.              Must be able to drive a mechanical vehicle.

       

General Responsibilities:

1.              Schedule appointments, make travel arrangements, and assemble material for meetings.

2.              Schedule appointments, arrange travel, and assemble material for Board of Education members to attend meetings and seminars.

3.              Assist in planning meeting agendas, and assist in preparing meeting summaries.

4.              Compile and distribute bi-monthly Board of Education agenda and meeting booklet.

5.              Assist in production and distribution of patron newsletter and staff newsletter as directed by the Superintendent.

6.              Assist in production and distribution of district information brochures as directed.

7.              Compile the district activity calendar by coordinating building activity calendars and publish it on website.

8.              Compose, type, and copy correspondence, reports, bulletins, records, and other materials for the Superintendent.

9.              Compose and distribute communication reports and bulletins to the Board of Education.

10.          Maintain updates to the Master Agreement.

11.          Screen incoming mail and paperwork for the Superintendent.

12.          Obtain, gather, and organize pertinent data as needed.

13.          Maintain an orderly filing system.

14.          Keep abreast of new information, innovative ideas and techniques.

15.          Adhere to all district health and safety policies, including all precautions of the Bloodborne Pathogens Exposure Control Plan.

16.          Other duties as assigned by the Superintendent.

                                      BOARD CLERK

                                  JOB DESCRIPTION

 

 

 

Purpose:                     The Board Clerk provides care and custody of the records, books, and documents of the Board of Education to ensure efficient and lawful operation of the school district.  To accomplish these tasks the Board Clerk must work closely with the staff and administration of U.S.D. No.  230.

 

Responsible To:         Board of Education

General Responsibilities:

1.            File an oath of office and furnish a corporate surety bond in an amount affixed by the Board of Education or its designate.

2.            Attend all meetings of the Board of Education and keep an accurate record of proceedings.

3.            Provide care and custody of the records, books, and documents of the Board of Education.

4.            Develop Board of Education resolutions as required.

5.            Notify Board of Education members of upcoming meetings and provide a copy of the minutes to each member.

6.            Notify Board of Education members of upcoming school events.

7.            Schedule appointments, arrange travel, and assemble material for Board of Education members to attend meetings and seminars.

8.            Notify Board of Education members of election procedures and timelines.

9.            Maintain record of the Board of Education’s Spring Hill Recreation Commission position.

10.        Perform clerical duties such as:

a.       compiling and typing reports;

b.      tabulating and posting data in record books;

c.       answering telephone and providing information;

d.      taking and transcribing oral dictation.

e.       utilizing BoardDocs, Microsoft Office and Google Apps.

11.        Maintain the Board of Education Policy handbook and notify administrators of any change in Board Policy.

12.        Not later than January 1st of each odd‑numbered year, certify to the county election office a list of all school offices to be voted upon at each school election, any boundary changes of member districts since the last preceding election, and the voting plan to be used.   Furnish a copy of the above to the county election officer of each county in which a part of the territory of the School Board is located.

13.        On or before August 25th of each year, certify to the State Board of Education a copy of the budget adopted by the district.

14.        On or before October 10th of each year, certify under oath to the State Board of Education the total enrollment by grades as of September 20th of the current school year.

15.        Certify a copy of adopted budget and financial statements to the State Director of Accounts and Reports.

16.        Certify to the governor vacancies in the membership of the Board of Education caused by death, removal, or resignation to a number less than four (4).

17.        Observe district policies at all times.

18.        Keep abreast of new information, innovative ideas and techniques.

19.        Other duties as assigned by the Superintendent or Board of Education.
